Privacy Policy
Last updated: August 2025
We keep this straightforward. This policy explains what personal information we collect, why we collect it, and what we do with it. We do not sell your data, we do not share it with third parties for marketing purposes, and we only collect what we genuinely need.
If you have any questions about how we handle your information, email us at info@thedukeofwellingtoninn.co.uk and we will answer them.
Who we are
The Duke of Wellington Inn is operated by The Duke of Wellington Inn Ltd. Our address is Newton, Stocksfield, Northumberland NE43 7UL. We are the data controller for the personal information we collect through this website and through direct contact with us.
What information we collect and why
We collect personal information in the following circumstances:
Table and room bookings
When you book a table or a room, we collect your name, contact details (email address and phone number), the details of your booking, and any dietary or accessibility requirements you share with us. We use this information to manage your booking, contact you about it if needed, and prepare for your visit. We hold booking records for up to two years for accounting and operational purposes.
Email newsletter
If you sign up to our mailing list, we collect your email address. We use it to send you occasional emails about seasonal menus, events, and news from the inn. We send these infrequently and only when there is something worth saying. You can unsubscribe at any time by clicking the unsubscribe link in any email, or by emailing us directly. We will remove you from the list within five working days.
Contact and enquiries
When you contact us by email or phone, we collect the information you share with us: your name, contact details, and the content of your message. We use this only to respond to your enquiry. If your enquiry leads to a booking, the information is handled as described above.
Gift vouchers
When you request a gift voucher, we collect the name and contact details of the person requesting it and, where provided, the recipient's details. We use this to process and send the voucher and to record its redemption.
Website visits
Our website collects standard technical information when you visit, including your IP address, browser type, and which pages you view. This is handled by Squarespace, our website platform, and by any analytics tools we use. This information is collected in aggregate and is not used to identify individual visitors. See the Cookies section below for more detail.
The legal basis for processing your information
Under UK data protection law, we need a legal basis for processing your personal information. We rely on the following:
Contract — when processing is necessary to fulfil a booking or other agreement with you.
Legitimate interests — when we have a genuine business reason to process your information, such as responding to an enquiry or maintaining booking records, and that reason does not override your rights.
Consent — when you have actively opted in, such as signing up to our mailing list. You can withdraw consent at any time.
Legal obligation — when we are required to retain certain information for accounting, tax, or other legal purposes.
Who we share your information with
We do not sell your personal information. We share it only in the following limited circumstances:
Booking platforms — if you book through OpenTable or our accommodation booking platform (Eviivo), your booking information is processed by those platforms under their own privacy policies.
Email platform — our mailing list is managed through a third-party email service provider. Your email address is stored on their platform for the purpose of sending our newsletter. They do not use it for any other purpose.
Payment processors — if you pay online, your payment is processed by a third-party payment provider. We do not store card details.
Legal requirements — we may disclose information if required to do so by law or in response to a valid request from a public authority.
All third parties we work with are required to handle your information securely and in accordance with data protection law.
How long we keep your information
Booking records: up to two years from the date of your visit, for operational and accounting purposes.
Mailing list: until you unsubscribe. We also carry out periodic list reviews and remove addresses that have not engaged for an extended period.
Enquiry emails: up to one year, unless they lead to a booking.
Accounting and financial records: seven years, as required by HMRC.
Your rights
Under UK data protection law you have the following rights:
Access — you can ask us for a copy of the personal information we hold about you.
Correction — you can ask us to correct inaccurate information.
Erasure — you can ask us to delete your information, subject to any legal obligations we have to retain it.
Restriction — you can ask us to restrict how we use your information in certain circumstances.
Portability — you can ask us to provide your information in a portable format.
Objection — you can object to us processing your information where we rely on legitimate interests as our legal basis.
Withdraw consent — where we rely on your consent (such as for the mailing list), you can withdraw it at any time.
To exercise any of these rights, email us at info@thedukeofwellingtoninn.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information, you have the right to complain to the Information Commissioner's Office (ICO). Their website is ico.org.uk and their helpline is 0303 123 1113.
